1. Who we are
Salt & Springs Outfitters, LLC ("Salt & Springs", "we", "us") is a Florida limited liability company operating boat rentals and related guest experiences in Flagler Beach, Florida. This Privacy Policy explains how we collect, use, share, and protect your information when you visit our website at saltandspringsoutfitters.com or use our services.
2. Information we collect
Information you provide directly
- Reservation information: name, email, phone number, mailing address, date of birth (for age verification), and emergency contact details.
- Party manifest: names and relevant details of guests in your rental party that you provide to us during booking.
- Identity verification: we visually inspect the primary renter's government-issued photo ID in person at check-in to verify identity and age. We record only that ID was verified — we do not collect or keep a copy of the document.
- Signatures and acknowledgments: electronic signatures and form responses for the Rental Agreement and Participant Waivers, along with associated metadata (timestamp, IP address, device information, document version hash) used to authenticate the signing.
- Payment information: billing details required to complete a transaction. Card details are processed by Stripe — see Section 5.
- Correspondence: messages you send us by email, contact form, or social media.
Information collected automatically
- Usage data: pages visited, links clicked, approximate location based on IP, browser type, and operating system. We collect this through standard server logs and (if and when enabled) basic privacy-respecting analytics.
- Vessel location data: for safety, recovery, and theft prevention, our rental vessels and equipment may contain GPS, Bluetooth (including Apple AirTag), cellular, or other location-tracking devices. These track the equipment's location during the rental period and are used to locate, recover, or secure the equipment and to support safety, billing, insurance, and dispute records.
- Equipment condition records: we may photograph or otherwise document equipment before and after each rental to record its condition, verify return, and support damage, billing, insurance, or dispute records.
- Cookies and similar technologies: see Section 8.
Information from third parties
- Payment processing confirmation from Stripe.
- Limited information from social media platforms if you tag or message us through them.
3. How we use information
We use your information to:
- Process and manage your reservation, including check-in, safety briefings, and post-rental follow-up.
- Verify your identity and age in person at check-in by visually inspecting a valid photo ID. We record only that ID was verified — we do not keep a copy of the document. (Florida Statute 327.54 governs livery rentals, including age verification and retention of rental records.)
- Process payments, refunds, and damage charges authorized in the Rental Agreement.
- Communicate with you about your booking — confirmations, reminders, weather updates, and follow-ups.
- Respond to inquiries, support requests, and feedback.
- Send marketing emails about new offerings, events, and seasonal updates, when you opt in or have an existing relationship with us. You can unsubscribe at any time.
- Comply with legal obligations (Florida boating regulations, tax law, fraud prevention).
- Improve our website, services, and safety procedures.
4. When we share information
We do not sell your personal information. We share it only with:
- Service providers we use to operate the business — payment processor (Stripe), email and communication tools, hosting providers (Vercel), and our backend rental management system. These providers process information only on our behalf and only for the purposes described in this policy.
- Government agencies when required by law — most commonly the Florida Fish and Wildlife Conservation Commission, which may inspect rental records under FS 327.54.
- Legal compliance — when required to comply with a subpoena, court order, or other valid legal process; to protect our rights, property, or safety; or to investigate suspected fraud or illegal activity.
- Business transfers — if Salt & Springs is involved in a merger, acquisition, or sale of assets, your information may transfer to the successor entity. We will notify you of any such change.
5. Payment processing
All credit and debit card transactions are processed by Stripe, Inc. We never see or store your full card number, CVV, or expiration date — that information is collected by Stripe's secure form embedded in our booking flow and transmitted directly to Stripe. We receive only a confirmation token and the last four digits of the card for our records.
Stripe is PCI-DSS Level 1 compliant. Their privacy practices are described at stripe.com/privacy.
6. Photos and video
We may photograph or record video of guests during their experience for marketing, social media, and website use. See our Photography & Media policy for full details:
- Adults: opt-out — notify staff before your activity begins if you prefer not to appear in marketing.
- Minors: opt-in — explicit guardian consent is required, captured during the Minor Waiver. Default is no.
- We will not knowingly publish any image in a defamatory or embarrassing context.
- We do not use your name, voice recording, or contact information alongside photos without separate consent.
7. Email and marketing
By booking with us, you agree to receive transactional emails relating to your reservation — confirmation, reminders, weather updates, post-trip follow-up. These are essential and you cannot opt out without cancelling your booking.
Marketing emails (newsletters, seasonal promotions, new offerings) are sent only with your consent or based on an existing customer relationship. Every marketing email includes an unsubscribe link that takes effect within ten business days. You can also email us directly to opt out.
8. Cookies and tracking
Our website uses minimal cookies and similar technologies:
- Essential cookies required for the booking flow (session state, multi-step wizard progress).
- Local storage used by the booking wizard to save your progress before you submit.
- We do not currently use third-party advertising trackers or cross-site tracking pixels.
- If we add analytics in the future (e.g., privacy-respecting page-view analytics), we will update this policy and, if required by your jurisdiction, present a cookie banner asking for consent.
9. How long we keep information
We retain your information only as long as needed for the purposes described in this policy:
- Rental agreements & adult waivers: retained approximately three (3) years from the date of your activity, covering the applicable claim period.
- Minor waivers (signed by a parent/guardian): retained approximately eight (8) years from the date of the activity, reflecting Florida's tolling rules and outer time limits for claims involving minors.
- Reservation records: retained at least one (1) year as required by Florida Statute 327.54, and generally up to three (3) years for accounting, tax, and dispute purposes.
- Photo ID: we verify your photo ID in person at check-in and do not retain a copy of your driver's license or other ID.
- Customer account information: as long as your account is active, plus a reasonable period afterward for accounting, dispute resolution, and legal compliance.
- Marketing email subscriptions: until you unsubscribe or we determine the address is no longer engaged.
- Server logs and analytics: up to 90 days.
10. Your rights
Depending on your jurisdiction, you may have the following rights:
- Access: request a copy of the personal information we hold about you.
- Correction: ask us to correct inaccurate or incomplete information.
- Deletion: ask us to delete your information, subject to legal retention requirements (e.g., we cannot delete rental records until the Florida one-year retention period expires).
- Opt out of marketing: unsubscribe from marketing emails at any time.
- Withdraw consent: where we rely on consent to process your information, you may withdraw it (for example, withdrawing photo consent before your activity begins).

11. Children's privacy
We do not knowingly collect personal information from children under 13 directly. Information about minors in your rental party is collected from a parent or guardian during the booking process. Photographs or video of minors are not used in marketing without explicit guardian opt-in.
12. Security
We use reasonable technical and organizational measures to protect your information:
- HTTPS (TLS) encryption for all traffic to and from our website.
- Payment information processed directly by Stripe — we never store it.
- Access to backend systems is restricted and authenticated.
- Regular review of vendors and security practices.
No internet transmission or electronic storage is 100% secure. We cannot guarantee absolute security, but we take reasonable steps to protect your information against unauthorized access, alteration, or disclosure.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we'll update the "Effective" date at the top. For material changes, we'll notify you by email (if we have your address) or by a prominent notice on the website before the change takes effect.
